Quick Works Order

Quick Works Order entry is an alternatively way of creating a works order.  To get the full benefit of using this method works orders should be templates.  A good feature of using Quick Works Order is the ability to assign one job number with sequential numbering to ensure the job number is unique.

Open Works Order – select  to open Quick Works Order

Use the  looking glass buttons to search for Customer, Location and Contact details.

Enter Customer Order detail and a delivery date (order date is automatically populated)

Only show this customer – tick this box to only show templates and orders for this customer

Auto increment Order Item No – tick this box if the Order Item needs to be incremented

Append to same W/O No – tick this box in conjunction with the auto increment order item no. to include it as part of the works order number

Quick Check – All Activity – can search for Part number.  Enter full or partial part number use the search button to open the Search for Part window.  Please note a new line will need to be Added prior to this action otherwise it may overwrite any existing records, a warning will be displayed.

Add a New Record – Template

Use this option if a template already exists for the works order.

Use the Add button to add a new record to the table, initially it will display – Works Order No., Customer Order Number, Delivery Date and Order Date.

Use the Get from Templates to display templates, ticking Only show this customer box will limit to display only those templates relevant to the selected customer.  Leave blank to display all templates.

To retain the same job number against multiple works orders, tick the Auto increment Order Item No and Append to Same W/O No, this will assign a job number similar to J00334/01, J00334/02 etc.  The Auto increment Order Item No will populate the Item No field within the standard works order window.  Please Note these boxes need to be ticked prior to adding the first works order.

Select the part template – OK to continue.  Alternatively, double click within the job number field this will also open the search for works order templates window.

Data can be entered using either the horizontal line entry or the vertical table on the right side of the window.  If the item has a different delivery date to the one stated on the whole order this can be adjusted by selected the date field where a date picker will open.

To add additional lines, repeat as necessary

Add a New Record – Stock Part

Use this option if a part exists in the database, please note this will only input the part detail, no operations, materials etc.

Use the Add button to add a new record to the table, initially it will display – Works Order No., Customer Order Number, Delivery Date and Order Date

To retain the same job number against multiple works orders, tick the Auto increment Order Item No and Append to Same W/O No, this will assign a job number similar to J00334/01, J00334/02 etc.  The Auto increment Order Item No will populate the Item No field within the standard works order window.  Please Note these boxes need to be ticked prior to adding the first works order.

Use the Get from Part button to display all available parts or with the Only Show this Customer ticked, will only display parts relevant to the selected customer (this is the customer as listed in the parts database)

Select the part number – OK to continue

Add a New Record – Works Order

Use this option if a works order already exists.

Use the Add button to add a new record to the table, initially it will display – Works Order No., Customer Order Number, Delivery Date and Order Date

Tick Only Show this Customer prior to selecting the Works Order Button, otherwise the following message will appear.

Select the part number from the picking list – OK to continue

Data can be entered using either the horizontal line entry or the vertical table on the right side of the window.

Multiple Lines using one Works Order number

One of the features of using Quick Works Order is the ability to create multiple lines of components using one works order number.

To initialise this, select Auto Increment Order Item No and Append to same W/O No. this will ensure the number structure remains consistent.  The job number remains the same with a suffix of /01, /02 etc.

Click Save to save the works orders; window will remain open continue with new customers orders as required, alternatively click Close if no further orders are to be raised.
